Different Groups Need Different Timetables
Visitor and Buyer Delegations
Provide confirmed visiting hours and scheduled appointments. Agree hotel assembly times, venue arrival and a return departure that gives your group time to regroup after meetings.
Exhibitor Teams
Staff arrival may precede public opening and departure may follow closing. Share authorised staff-entry times and separate requirements for setup, exhibition and breakdown days. Each journey must be included in the quote request.
Several Hotels and Repeated Journeys
List hotel addresses and passenger allocations. Multiple collections affect journey time. One coach cannot serve simultaneous routes; repeated departures depend on travel duration, boarding time and availability.
Confirm the Venue Entrance, Not Just Its Name
Send the exact address, hall or entrance and organiser-issued coach access instructions. Confirm permitted unloading, parking and return boarding points. A visitor entrance does not automatically permit coach stopping or exhibitor access.

Passenger Transport Is Not Exhibition Freight
Describe suitcases, product samples and other proposed items, with quantities and dimensions for bulky pieces. Luggage space is assessed separately from seats. A 50-seater offers up to 50 passenger seats, including travelling organisers and staff.
Do not treat the coach as a freight vehicle for stands, pallets or large displays. Cargo handling, installation and exhibition delivery services are not included in this passenger-transfer enquiry. Proposed items require prior acceptance.
Airport Arrivals and Multi-Day Attendance

For several exhibition days, provide each day's passenger count, collection points and return times. Changes in working hours or hotel allocation need confirmation. A quote for one day does not automatically cover additional dates.
Clear Return Arrangements
Nominate one contact for headcounts and updates. Share the confirmed boarding point and assembly time. If some visitors leave early, request separate departures rather than assuming an on-demand shuttle.
Tell us about mobility needs and walking limitations. Essential accessibility features must be confirmed for the assigned vehicle. Waiting, extended service and route changes require agreed arrangements.
What to Include in Your Quote Request
Send the event name, confirmed dates, venue and entrance, hotels, passengers, required arrival and return times, luggage or sample dimensions and organiser contact. Include venue access instructions.
Request a written quote defining vehicles, journeys, waiting allowances, parking, tolls, extra stops and additional hours. Published minivan rates do not apply to a 50-seater coach booking. Confirm booking terms before committing.

Can we request a private coach for our group?
Yes. Send dates, passengers and your programme for assessment. This is private group transport, not individual tickets on a shared shuttle.
Can exhibitors arrive before visitor opening hours?
Provide confirmed staff-entry times and access instructions. The proposed journey depends on permitted access and availability.
Can you carry stand equipment?
Do not assume this is possible. Describe proposed items for assessment. Freight transport and installation are not included.
Can the coach stay all day?
Request waiting explicitly. Parking and service hours must be confirmed. Waiting onsite and returning at a fixed time are different service plans.
Is this the official event shuttle?
No. This is independent private transport and does not claim official event affiliation.
